ZARInvoice for Android · Effective date: 29 October 2026
At a glance
- We collect nothing. ZARInvoice has no accounts, no servers, no analytics, no advertising and no crash reporting.
- The app is offline. The released app does not have Android's internet permission, so it cannot connect to the internet.
- Everything stays on your phone. Your business profile, logo, clients, items, invoices and credit notes are stored only on your device.
- You decide what leaves. Data leaves the app only when you choose to send, view or save a file, or make a backup, always through an app or location you pick.
- Backups are encrypted with a password you choose. We cannot recover a lost password.
- Uninstalling deletes everything the app stored on your phone.
1. Who we are
ZARInvoice is published by Moka Inspire, the responsible party for this app under the Protection of Personal Information Act, 2013 (POPIA). You can contact us at inspireme@mokainspire.com.
Because the app never sends your information to us, Moka Inspire does not receive, hold or process the information you enter. You remain in control of it on your own device. If you email us, we use your email and its contents only to reply to you. We keep such emails only as long as needed to deal with your request and do not use them for anything else.
2. What information the app handles
The app stores only what you type in or choose to add:
- Your business profile: business name, address, email and phone number, VAT number, banking details, payment terms, invoice numbering settings and your logo.
- Clients: the names, contact people, email addresses, addresses and VAT numbers of the people and businesses you bill.
- Items: the products and services you sell, with prices.
- Documents: draft invoices, issued tax invoices and credit notes, and the PDF of each issued document.
- Backup record: the date of your last backup and how many issued documents it held, so the app can remind you to back up.
The app does not collect your location, contacts, phone identifiers, usage statistics or any other device information.
3. Why the app uses it
The information is used only to do what you ask: keep your client and item lists, create and number invoices and credit notes, produce PDFs, and make or restore backups. It is not used for marketing, profiling or any other purpose, and it is never sold.
4. Where it is stored
- Your business data is kept in one database inside the app's private storage on your phone. The backup record (date of your last backup and its issued-document count) is a small separate file in the same private storage. Other apps cannot read either.
- The database is not separately encrypted by the app. It is protected by your phone's own screen lock and storage encryption, so please use a screen lock.
- Android cloud backup and phone-to-phone transfer are switched off for this app, so your data is not copied to Google or to a new phone automatically. Use the app's own backup to move to a new phone.
- When the app needs a temporary file (for example a PDF you are sending or a backup being made), it puts it in the app's private cache and deletes it when the task finishes. Leftover temporary files are cleared the next time the app starts. When you send a PDF by email, a copy of the attachment is kept in the same private cache until your mail app has read it; it is cleared later and always when the app is uninstalled.
5. Phone features the app uses
- Photo gallery: only when you choose a logo. The app does not use the camera. The logo is shrunk and saved in the app's database.
- Files: only when you pick a file yourself, such as an Excel sheet to import or a backup to restore, or choose where to save the Excel template. The app reads only the file you pick.
- Other apps: to send a PDF or backup, or to view a PDF, the app hands the file to an app you choose, such as your mail app, a messaging app, Google Drive or a PDF viewer.
6. What leaves your phone
Nothing leaves your phone unless you tap to send or back up. When you do, the file goes to the app you choose, and that app's own privacy policy applies from then on.
| What | When | Where it goes | Protection |
|---|---|---|---|
| Invoice or credit note PDF | Only when you tap send or share | Your chosen mail app or share target (for example email or WhatsApp), and from there to the recipient you choose | Not encrypted by ZARInvoice; it is a normal PDF meant for your client |
Backup file (.zarbackup) |
Only when you make a backup | The Google Drive app if installed, otherwise the share target you choose | Encrypted with your password (AES-256-GCM, key derived with PBKDF2) |
| Excel template | Only when you download it | The folder or location you choose when saving | A blank template; contains none of your data |
Moka Inspire never receives any of these files. We do not share your information with anyone, because we never have it.
7. How long it is kept
Your information stays on your phone until you remove it. You can edit your profile, clients and items, archive clients and items you no longer use, and delete drafts at any time. Issued invoices and credit notes cannot be changed or deleted in the app, so your records stay complete; a mistake is corrected with a credit note.
South African tax law generally requires businesses to keep invoice records for at least five years. Keeping those records, for example by making regular backups and storing them safely, is your responsibility.
Uninstalling the app deletes its database and all its files from your phone. Backup files and PDFs you have already sent elsewhere are not affected and are under your control.
8. Security
- The app cannot connect to the internet, so your information cannot be sent anywhere without you.
- Backups are encrypted with AES-256-GCM using a key derived from your password with PBKDF2-HMAC-SHA256. Without the password, a backup cannot be opened.
- There is no password recovery. If you forget a backup password, that backup cannot be restored by you or by us. Choose a password you will remember and keep it safe.
- The on-phone database relies on your phone's screen lock and storage encryption. Anyone who can unlock your phone can open the app.
- PDFs you send are not encrypted. Check the recipient before sending.
9. Your rights
Under POPIA you have the right to know what personal information is held about you, to have it corrected or deleted, and to object to its processing. Because all the information lives only on your phone, you exercise these rights directly:
- Access: everything the app holds is visible in the app.
- Correction: edit your profile, clients and items in the app.
- Deletion: delete drafts at any time. Archiving a client or item only hides it from lists; it is not erased. Issued invoices and credit notes are kept (see section 7). Uninstalling the app removes everything it stored.
If your details appear on an invoice someone sent you using ZARInvoice, that business is responsible for your information; please contact them. For any other question, email inspireme@mokainspire.com. You may also complain to the Information Regulator of South Africa.
10. Children
ZARInvoice is a business tool for adults. It is not aimed at children, and we do not knowingly collect information from anyone, including children.
11. Changes to this policy
If the way the app handles information changes, we will update this page and its effective date before the change reaches the app.
